Chat AI

We’ve integrated a new assistance tool into our platform. Thanks to our new “Chat AI,” you can get quick and accurate answers on how to use the platform. You can find this new help tool in the “Help” menu in the bottom left corner of the Yarowa platform by clicking on the “question mark” icon and then selecting “Chat AI.”

If you require further details, the Support Center is always available via the same menu by selecting the “Contact Support Center” option or by contacting us directly via email at supportCH@yarowa.com.

This is a first version that we will continuously improve and expand – based on the feedback and experiences of our users.

Multi-factor authentication (MFA)

To improve data protection, certain service provider accounts require multi-factor authentication (MFA). Currently, this is done via SMS. Now, authentication can also be performed via an application.

We recommend authentication via an app, as this offers higher security than the SMS option.

Change of date of birth in the medical report

From now on, the date of birth entered when creating an order can be adjusted directly in the report by the doctor. This function allows for the correction of any errors in the insured person’s date of birth.

Reasons for rejection, new role for doctors

If a doctor has to reject a request, he will now be offered a list of possible reasons for rejection.

A reason for rejection must be selected from the list, and depending on the selection, a comment may or must be added.

Reasons for rejection:

  • Missing medical records
  • Conflict of interest
  • Capacity/availability not available
  • Assignment error / Select another service or specialisation
  • The exploration date or report due date doesn’t fit.

Our dashboard is being modernised.

New features and an improved overview are now available.

  • Create a new order

To start a new order, you will now find the “+ Create New” button in the upper right corner. This button opens the list of available services.

  • filter

The main filters and search function are available on the dashboard. This allows you to quickly refine the tasks on the dashboard using the following filters: status, user, activity, and partner.

  • More filters

New filters are available when you click on “More filters”. The filters are activated based on current orders and corresponding services that you have in your dashboard.

  • Save filters

You have the option to save predefined filters. To do this, activate the desired filters and click “Save Filter”. You can name the filter and find it again at any time under “Saved Filters”.

  • Disable filter

When a filter is activated, only the corresponding orders are displayed in the dashboard. To display all orders without a filter, simply click “Clear all filters”.

  • New inquiries

Filters can now also be applied to new requests (on the service provider’s side) before they are accepted. The filters are visible when using the list view.

Individual request

As with all other medical second opinions, it is now possible to cancel a request with the status “accepted”. Below are the possible actions depending on the status of a medical second opinion request:

  • Status “Submitted”: The order can be cancelled, withdrawn (insurance) or rejected (service provider).
  • Status “Accepted”: The order can be cancelled.
  • Status “Completion started”: No cancellation possible, the service provider must complete the order.
  • Status “Completion requested”: Completion of the order or return for revision.

Expert report (basis)

For the insurance company, search criteria for sound recordings and for the requirements according to ATSV Art. 7m were added, as well as the option to indicate that an interpreter is organised by the insurance company.

Expert report (basic and extended functionality)

The option to indicate that an appointment did not take place has been added. If you, as a physician, indicate that the appointment did not take place, you can complete the order without necessarily uploading a report document.

Deletion of documents

Documents uploaded to the platform can now be deleted. Only the party responsible for uploading the document can delete it; for example, a document uploaded by an insurance company can only be deleted by the insurance company. The same applies to a document uploaded by a doctor.

Audio recordings are an exception. At the request of the insured person, the insurance company must be able to delete these recordings, even if the doctor is responsible for uploading them.

Once a document has been deleted, the information is visible in the case’s order history.

Various optimisations were made to the following services:

  • File assessment UVG (1)
  • Consultative examination UVG (2)

In general, the wording of the questions and answers has been clarified and refined. Additional explanations are available via the respective information button.

The steps for creating an order, accepting it, and creating the medical report remain unchanged.

Details on the most important changes

The new questionnaire and new features will be available for all orders created from 19.09.2024 onwards.

Dynamic adjustments to the questions/answers:

Conditional logic was introduced to dynamically adapt the questions to the answers already given. This means that follow-up questions automatically appear or are hidden based on relevance to certain answers. This approach saves time and increases efficiency by focusing solely on the relevant information for each dossier.

These logics are integrated into the answers in the following focus areas:

  • causality
  • UKS
  • incapacity for work
  • Treatment completion and damage to integrity
  • Occupational disease

Layout improvements and new features

The layout, especially in the reports, has been improved, and some new functions are now available for UVG file assessment and UVG consultative investigation:

  • Enter the ICF codes in a standardised manner.
  • Adding multiple, individual questions to the “Individual Questions” focus area.
  • Option to add information for scheduling an appointment for a UVG consultation.
  • Option to upload audio recordings in a dedicated area for UVG consultation.

Revision of the questions in the area of “occupational diseases”

New, more detailed questions and answers are available in the “Occupational Diseases” section.

Dentistry

  • When creating an order, there is now the option to add information to a cost estimate.
  • The vocabulary was refined and adapted to dentistry.
  • Dynamic adjustment of the questions/answers is applied in the focus area “Treatment”.

New feature for the legal advice network

The formatting of documents generated by the platform has been optimised. All documents now have a uniform and elegant layout, making it easy to quickly find the desired information.

Details of the new formatting:

  • Cover page: As before, the cover page contains the essential information of the case, such as the title of the document, the case number, the responsible service provider and the details of the insured person.
  • Further pages: All necessary information for each process step is listed under different subtitles, ensuring optimal structure and easy readability.

The documents generated by the platform can be downloaded after each step or accessed at any time during the order process.

Details of the most important changes:

Mini-ICF (1)

Introduction of an assessment grid and a graphical representation that makes it possible to integrate a mini-ICF into a report.

To assess the plausibility of incapacity for work (psychiatry and psychotherapy), the physician can use the Mini-ICF assessment grid to create a graphic representation that is integrated into the report. If a Mini-ICF is activated, a conclusion must also be provided.

The use of the Mini-ICF is optional and must be activated by the physician when writing the plausibility report on the platform. To create a Mini-ICF, the box “Add an analysis using the Mini-ICF tool” must be checked in the “Diagnosis” step when writing the report.

Brief medical history (1)

The plausibility reports now include a section entitled “Summary of the case history and development of the current event.” The aim is to provide a brief anamnesis highlighting the most important elements of the case. The text should remain concise and focused to facilitate understanding of the current situation.

Individual questions (1) (3) (4)

In addition to the standardised questions, it is now possible to ask multiple individual questions by simply clicking on “Add question”. This allows the doctor to better structure the report when multiple additional questions are asked.

Adapted activity (1) (3) (4)

Similar to the answers for assessing incapacity for work in the original occupation, the answers to be given regarding incapacity for work in a modified occupation are formulated in more detail and with greater precision. This allows for a better distinction between the current situation and the potential development in a modified occupation.

Information on making an appointment (1) (2) (3)

When an appointment request is submitted, the client can add some information that should be considered when scheduling the appointment. This information is then visible to the doctor in the case description and on the calendar page that appears when booking the appointment.

Information in the report (1) (2) (3) (4)

Certain information, such as details about current employment, is entered by the client and can be modified by the doctor. This information then becomes part of the report. The platform clearly indicates to the user which information will be transferred in this way.

These changes apply to orders created after this release. They do not apply to any open orders created before this release.

Document transfer from the previous order

As an insurance user, after creating an initial order, you can add a second order using the “+” function on the dashboard. The advantage of this “+” function is that the data from the first order is automatically transferred.

It is now also possible to use the documents from the first order for the following medical services:

  • All file reviews.
  • Plausibility check, early plausibility check and short assessment of incapacity for work.
  • Consultative examination UVG.
  • Expert report (basic), Expert report (extended functionalities).
  • Individual request.

Documents marked as sensitive cannot be transferred from one assignment to the next.

Introduction Compliance Center

We are introducing the new functionality of the Compliance Center. In the Compliance Center, users can view the legal documents they have accepted or not yet accepted for both the Yarowa platform and private marketplaces.

New date stamp in the “Messages” tab

Chat messages between participants now include the date of the message instead of just the time it was sent.

Dashboard: New tab for archived work orders

A new tab called “Archived Orders & Services” will appear on the dashboard. As soon as work orders are marked as “archived,” they will be automatically moved to the archive overview. This will reduce the clutter on the dashboard.

The search for work orders and archived work orders is now independent of each other. If the user searches for a work order that is not found, a message now appears advising the user to check their search query and ensure they are also searching the archive.

As a reminder: Work orders are automatically moved to the archive 3 months after they are closed.

Bulk transfer of work orders when deleting users and employees as account admin

Previously, it was possible to transfer work orders from one user to another, for example, when someone leaves the company and the case needs to be continued by someone else. We are now introducing the ability to transfer orders in bulk when a user leaves the company. You can access this feature as follows:

As an account administrator, navigate to the “User Overview.” Locate the user you wish to delete and click “Delete User.” If the user has active work orders (orders that are not in “closed” or “archived” status), a pop-up window will appear indicating that you cannot delete this user because they have active work orders. Below this message, you will see a drop-down menu where you can select a user from the same area who can also process work orders. You can then transfer the work orders. We do not offer the option to transfer orders to multiple different users, only to a single user.

If you want to delete an entire area with active orders, go to “Technical Administration” as the account administrator and click on “Delete”. You will then see a pop-up indicating that this area has active work orders and you will have the option to transfer these work orders to another area.

New VAT rates from 01.01.2024

VAT rates in Switzerland will be adjusted on January 1, 2024. When uploading quotes/invoices, you will now have the option to either choose between the new and old rates or to enter the VAT manually.

Changes to how notes are displayed on the platform

The notes are now displayed so that the most recent note appears at the top of the list. Additionally, the name of the user who created the note is displayed instead of the business partner’s name, as was previously the case.

Character counter for text fields

We’ve implemented a character counter for text fields that shows the user how many characters can be entered and counts them as they type. If the user exceeds the allowed number of characters, the field turns red until the excess characters are removed. Fields without a character limit do not have a character counter.

Selecting multiple users in the dashboard

The dashboard allows users to be searched for individually and multiple users can be selected via the search function.

From now on, in addition to the criteria of distance, segmentation and rating, there is also the option to set a maximum price as a rule.

Questionnaire: Case file review for detention, case file review for risk assessment, case file review (individual)

When creating a new order, you can choose whether to upload the question catalogue or enter the questions directly on the platform. Depending on which option is selected, the service provider will receive a notification with the following information:

  • Once the questionnaire is uploaded, the service provider creates their report and uploads it to the platform.
  • If the questions are entered directly on the platform, the service provider answers them directly on the platform. A standardised report is then generated.

Differentiation of PDF titles

When an order is created, the title of the generated document is initially “Request”. Once the service provider accepts the order, the generated document is titled “Order”. These documents are located in the order history.

Dashboard

We’ve improved the search function in the dashboard so that search results now display not only items where the entered text exactly matches, but also those where the match is partial or similar. The improved search now also includes the following features:

  • Matches are displayed even after entering just three characters.
  • The search results display the most relevant matches at the top (most exact match) and then matches with similar matches (e.g. parts of the word found).
  • The search includes case numbers and names (business partners, service providers), as well as services and open items.

Important to know:

  • After entering the search term, the search query is started by pressing “Enter” or by clicking outside the search field with the mouse. To delete the search query, the search term must be deleted from the search window.
  • Once a search query is entered, the sorting settings are no longer applied. The search results display the best matches at the top. As soon as the search term is deleted, the previously set sorting is restored.
  • If an exact match is desired, the entire term should still be entered.

New service « Expert opinions (extended functionality)»

This service was specifically developed for expert opinions in the areas of accident insurance (UVG) and sickness benefits (KVG), which are regulated by the Federal Act on the General Part of Social Insurance Law (ATSG). The aim is to meet the legal requirements introduced as a result of the 2022 revision of the ATSG and its ordinance. For example, processes related to the right to be heard and audio recordings are taken into account and simplified. This service includes the following features:

  • Looking for doctors who can guarantee audio recording of the interview or who meet the requirements according to ATSV Art. 7m.
  • Services including an exploration appointment are booked via appointment request.
  • The waiting period for the right to be heard is integrated into the process.
  • After the exploratory appointment is announced, a PDF for the patient’s appointment notification is automatically generated.
  • The questionnaire is determined by the insurer for each expert opinion, and the report written by the doctor outside the platform is uploaded via the platform.
  • The audio recordings can be securely transmitted via the platform.

The existing “Expert Opinion” service on the platform remains unchanged and is still available. Only the name has been changed and it now appears under the name “Expert Opinion (Basic)”.

Changes to the doctor profile

Directions

Doctors can now add directions to their practice to their profile.

  • Doctors can add this information to their profile (under “Edit profile”).
  • For the person placing the order, a specific symbol appears in the search results on the doctor’s profile overview if directions are available. The full description is then visible in the doctor’s detailed profile (under “View Profile”).

Additional information resulting from the revision of the ATSG and its regulation.

Doctors can now indicate in their profile whether

  • The doctor ensures that audio recordings of the interview are made.
  • The physician meets the requirements according to ATSV Art. 7m.

Calendar view optimisation.

The page for selecting an appointment has been optimised.

A single page displays an entire month with the number of available appointments per day. It’s easy to navigate from one month to the next and view available appointments for the next 12 weeks. This simplifies the selection of a service provider and appointment time.

Note: Various filters allow you to refine your search. If no appointment is available, you can click on the “Appointment Request” option to view available service providers.

Chat messages can now be exchanged between clients and contractors before the job is accepted. The “Messages” tab is available to the client immediately after submitting the request (status “Submitted”). If the client withdraws the job or the contractor declines it and submits it to another contractor, the exchanged messages are deleted and no longer available.

It is now possible to mark a document as read or unread. This function is available in the “Document” tab of the relevant task. When a document is marked as unread, an icon appears on the dashboard.

Postal code or town for border region

When creating a new request, the search function now offers the option to enter a postal code or town for a border region. These postal codes/towns will be taken into account to find the relevant doctor in Switzerland based on all specified search criteria.

Display of orders from deleted users in the dashboard

If an administrator deletes a user, their tasks will still be visible in the dashboard. This allows other users to transfer the deleted user’s open cases to other users. The cases will be displayed in the dashboard if the user filter is set to “All.” It is not possible to filter by the deleted user.

Back to revision

A new feature allows you to add a comment for the doctor when the report is sent back for revision.

If the case worker selects “Back to Revision,” a comment can be entered before the report is sent back to the doctor for adjustment. A notification is sent to the doctor via email. The comment is visible to both the client and the doctor as a new message in the “Messages” tab of the relevant order.

New service “Consultative examination UVG”

The new service “Consultative Examination UVG” is available and includes the following features:

  • Service with exploration: The exploration appointment can be selected directly via the calendar view or requested via an appointment request to the doctor.
  • The questionnaire is standardised and offers 9 focus areas, which are largely the same as the questionnaire for file assessment UVG.
  • The report is created and submitted directly via the platform.
  • The deadlines to be met are the same as for a plausibility check: the report must be submitted 7 calendar days after the exploration date.
